ILR BOARD MINUTES
November 20, 2008
The meeting was called to order at 8:08pm
EST – Board Members Karen Baum, Kathi McKinney, Mark Smith,
Kristy Brown, Mary Jo Miller and Registrar Jan Wassink were
present.
1.
Approval of the Oct. 2008 minutes: motion by
Kathi, seconded by Mary Jo – unanimous approval.
2.
The next board meeting will be a teleconference on
Thurs. Dec. 18, 2008 at 8pm EST.
3.
Registrar: The board reviewed the financial
reports and office operations for October 2008. In
our continuing effort to streamline operations we have changed
phone and credit card processing companies for improved service
and reduced costs. Because of the ease of collection of fiber
root ball samples for DNA analysis and the increase of usage of
this method by members, the board decided unanimously to
discontinue the credit given for use of FTA blood cards
effective Jan. 1, 2009.
4.
Web site upgrades: Web site upgrades are on target
and in-house programming changes should be completed by mid-Dec.
for a full release on Jan. 1, 2009.
5.
Lamaribbean Conference and Cruise – Feb. 9-14, 2009:
The board reviewed the list of people paid in full for the
cruise. The ship still has rooms available so members can
continue to sign up for the cruise, but the pricing may be
different from the early booking prices advertised. We are still
soliciting donations for the cruise drawings.
6.
ILR-UAP & IRL-IF: The ILR-UAP log sheets can be
emailed faxed or mailed to the ILR office. Programming for
on-line log sheets is still in progress.
7.
ShowManager: The SM program is fully operational.
Any non-ALSA show results on ShowManager shows that are
submitted to the ILR office will be posted on the ILR web site.
i.
The board received a request to allow for credit card
payment for the show to be made at the time of on-line sign-up.
The board discussed policies needed for this process and Jan
will investigate programming costs to allow for this service to
be available. The topic is tabled until December.
ii.
Pricing for ShowManager for 2009 will be as follows: a
$50 setup fee to have the show available on ShowManager and a $1
per head user fee for the program. Double, Triple and Quad shows
will pay only one $50 set up fee and the $1 per head user fee
will be charge for each show ($2 for double, $3 for triple,
etc). These user fees are charged to help cover the programming
costs involved in developing ShowManager and may be reduced when
these costs have been recouped.
8.
Executive Session: the board went into executive
session for continued discussion of contracts for ILR staff,
reviewed domestic screening photos/application, computer
programming fees and to discuss and rule on member petitions.
9.
RegistryManager: The RegistryManager will be fully
operational Jan.1, 2009 with the option of
email
billing rather than mailing invoices and confirmations.
10.
Membership Drive: An email was sent out giving people the
option to renew their membership online. Anyone not responding
to that email and members without email will be sent a
membership application and membership packet in the mail.
Membership information will be sent to anyone that has had a
paid membership in the past three years and/or anyone that has
done business with the ILR in the past two years. Membership
information will be mailed the first week of December.
Membership materials will be printed and processed in-house this
year.
11.
Member Petitions: The board has received a petition with
69 signatures to date encouraging the ILR consider becoming a
show association. The ILR board appreciates and gives serious
consideration to member input and requests, and has decided to
table any discussion of this topic until the December meeting to
allow members additional time for comment, and to allow us time
to consider and discuss any additional requests made on this
subject.
12.
Fiber Type Designation: The Classic Focus group is in the
process of reviewing photos in the database to make a
preliminary suggested designation of animals meeting their
criteria for Classic Fiber Type. Animals meeting these criteria
have had this fiber type designated in the database for research
and/or fiber type search purposes only; it is not a permanent
fiber designation. There is no screening or hands-on evaluation
done to determine this designation – it is based only on
database file photos or owner submitted information to the
Classic Focus Group. Programming will be done to notify owners
when this fiber designation has been made and give them to
option to change or remove this designation.
The meeting was adjourned at 10:34pm EDT – motion by
Kathi, second by Kristy. Unanimous approval.
Respectfully submitted,
Kristy J. Brown, Secretary
